For Queensland pest controllers in particular, it is important to have a pre-treatment advice form completed and sent to the customer before the day of treatment. This can be done through the use of a Webform and Future Reminder connected to the job, which streamline the process so that you know this form will be seen by a User, who will fill out the necessary fields of the form and submit it, automatically sending it to the customer.


You will want to make sure that you have the correct Job Type set up. It will be called Residential Pest Management with Pre-treatment Pest Control Advice. If you do not have this job type set up, or the related Webform required, you may contact our Support team at [email protected] or through the Web Portal Help > Support widget, to inquire about setting it up.


Go to Jobs > Job Type Templates > select the edit arrow for the above job type. When you scroll down in Job Details, you can see whether there is a Webform already attached, called Pre-treatment Pest Control Advice (QLD) in the Web Forms section. If it's not there, then you can click on the field and select it from the list of webforms available in your business account.




With the Webform attached to the Job Type, make sure you Save, and then you can go to the Future Reminders tab, this is where you can set up the Webform to send to a user (whoever you would like to complete the form and send it to the client). 


In the Future reminder, you can set up when you would like the email to send. In the current example, it is set to send 2 days before the job's due date. This will ensure that the recipient will be reminded to fill out the form and send it to the customer within a couple of days before they should expect the Pest Pre-treatment.


The 'Email To' field will use a placeholder to send to the correct person. This can be the main business email, or other user email addresses. It should go to whoever is supposed to complete and submit it for the customer to receive. Use Ctrl + Space in order to bring up the list of potential placeholders that can be used.



The email subject should be simple, letting the recipient know what is expected in the email.


The email content can then include a simple message for the User(s) receiving the email reminder. Within that message, can be the Job Type and Job Date, along with other details that can be added with Placeholders. But it will need to also have a link to the Pre-treatment Advice webform for the User to complete and submit - which will then automatically send the form to the customer through Form Actions set up on the form itself. This is done by using Ctrl + Space again, and searching for the Webform in the Placeholders dropdown list.




Once the Future Reminder has been completed, you can Save at the bottom of the page. This will ensure that every future job that is created with this job type will have the Pre-treatment Advice form automatically sent out to be completed.
